How to make a copy of every email sent or received by Microsoft Exchange server:

With Microsoft Exchange server 2003, you have the ability to make a copy of EVERY mail sent or received by the Exchange server. It is different than a backup, on a backup you have a copy of all users mailboxes at the time of the backup. What if a user deleted all of his/her new todays e-mails by mistake? No backup there... What if a user deliberatly hides e-mails by exporting e-mails regularly in a PST? No backup there either... You will not even know they received those e-mails. Here is how to protect your organization:

First make a container for the email:

  1. Open "Active Directory Users and Computers".
  2. On the left pane, click on "Users" or where you would like the create the Exchange contact.
  3. Right-click "Users" Click "New" and then "User".
  4. In the "New Object - User" window, fill the first name with: ArchiveMail, last name: empty
  5. Enter a "User logon name": archivemail. Click "Next".
  6. On the "New Object - User" second window, type in a good password,
    tick "User cannot change password"
    and "Password never expires" checkboxes then click the "Next" button.
  7. On the "New Object - User" third window, make sure "Create an Exchange mailbox" checkbox is tick, and click "Next" button.
  8. On the fourth window, click the "Finish" button.
  9. Close "Active Directory Users and Computers".

Second, configure Exchange server to archive E-mail in that Exchange mailbox:

  1. Open "Exchange system manager".
  2. In the right pane expand "Servers / ServerName / First Storage Group", right-click on "Mailbox Store (ServerName)" and click "Properties".
  3. On the "Maibox Store (ServerName) Properties" window, in the general tab, click the checkbox "Archive all messages sent or received by mailbox on this store" .
  4. Click the "Browse..." button.
  5. Type "ArchiveMail" and click "OK".
  6. On the "Mailbox Store Properties" windows, click "OK".

All done!
